The advantages of fleet management software: numbers and KPIs

What is Fleet Manager?

Fleet Manager is a company fleet management software used by three renowned car manufacturers, one Italian and two German. The Fleet Managers currently in use differ both in the number of vehicles managed (from 100 to approximately 1,000) and in their purposes: respectively, management of marketing events, optimization of vehicle assignments and integration of a system for paying fines.

What does Fleet Manager do?

The software manages the authorization flow of company cars for collaborators at multiple levels (from managers to employees) from the request, to the authorization, from repairs and workshop restorations to the management of the documentation relating to each car (tax, insurance, fines, deadlines, etc.)

By centralizing all the information relating to the use of each car in one place, the software allows you to have control over the data relating to fleet management (primarily management costs) as well as acting as an archive of the data itself.

Current and future developments

For one of our customers, we recently integrated a GPS tracking system from an external supplier to ensure control of data relating to geolocation, real-time reporting of breakdowns or any accidents and the relevant responsible parties, information on the driving style of drivers, etc. integrate a series of functions relating to the widespread control of the car fleet and, consequently, to an even more strategic and optimized management of the vehicles.

The integration of flows and management of documentation for companies that deal with leasing and car rental is expected in the near future.

Strengths

The greatest strength of Fleet Manager, like the other softwares developed by Peritus, is the flexibility and customization options offered to customers based on their business needs and workflows.

Peritus is also able to integrate external solutions to the application, as it has done for example with SAP, to manage an optimal fine payment system to avoid delays in payments and debt collection. But the advantages of Fleet Manager go well beyond flexibility…

Why is Fleet Manager worth it?

By extracting data on the use of Fleet Manager by current client companies, we have identified 5 KPIs that prove the effectiveness of the software in optimizing management at multiple levels:

1. Reduction of repairs

Repairs occur every time a vehicle is taken to the workshop for routine maintenance and/or to repair damage. Correct fleet management on multiple levels leads to a reduction in the number of repairs and, consequently, the related expense item. With Fleet Manager, there was a 12% decrease in the average number of repairs.

2. 30% reduction in CO2 emissions

The control and subsequent optimization of routes led to a reduction of approximately 30% in CO2 emissions. Less waste, more respect for the environment and lower fuel costs.

3. Significant increase in the percentage of fines recovery

This is data reported by the customer for which Peritus has integrated into Fleet Manager a system for immediate payment of fines by the company and subsequent debt collection from those responsible for the infringements. According to what was reported, the percentage of debt collection increased from 20% to 80%, recording a return on expenses of over one million euros.

4. Optimization of use by 40% on the entire fleet

Controlling the most homogeneous use possible of the total number of vehicles in the fleet is useful for understanding whether the number of available vehicles is adequate for the company’s needs or whether the fleet needs to be expanded or reduced. Any excessively long periods of inactivity of the vehicles in fact represent expense items with no return. With Fleet Manager, an optimization of the entire fleet of vehicles of approximately 40% has been recorded.

5. Less exchange of emails for fleet management

By centralizing a series of functions in a single software and providing profiled access for collaborators at multiple levels, the flow of daily emails for managing the fleet is significantly streamlined, as well as internal communication between managers of the fleet itself. Each manager or employee can access the software to request a car and the person in charge will start the organizational flow in a short time, having real-time control over a graphic timeline of the vehicles available in a given time range. At a company customer, a reduction of about 260 emails per day was calculated, for a time saving of about 13 hours overall. The same can be said for the saving of human resources assigned, in addition to the minimization of errors and delays.
